Privacy policy

What we hold about you

• Your account: first and last name, email address, ZIP code, whether you are a parent or guardian, a coach or a league admin, phone number if you gave one, and a password we store only as a hash.
• Your teams and league: which team numbers you coach or follow, and which league, once an admin approves a claim.
• Your Google Calendar connection, if you connect one: a token that lets Ready Coach Go! create calendars in your Google account and put events on them. It is stored encrypted. It cannot see any calendar Ready Coach Go! did not make.
• Your purchases, if you buy something: a Stripe customer id and what you bought. Stripe holds your card; we never see it.
• The newsletter: the date you agreed to it, which is the day you created the account, or the date you switched it off.
• Visits, signed in or not: the pages and apps you open and the teams you look up, the kind of device and browser, and the network (IP) address and rough location your connection comes from. We use it to see how the service is used and keep it running. The details, address included, are kept for a short while - a week unless we change it - and then kept only as a summary of the day, without the address.

What we use it for

• Running the service: signing you in, showing your league's schedule, making and updating your calendars, taking a payment you asked for.
• The newsletter: telling you about new features and apps. It comes with an account, the sign-up form says so, every such email has an unsubscribe link, and your account page switches it off.
• Nothing else.

What we do not do

• We do not sell your personal information today. If that ever changes, we will tell you first, and you will be able to say no before anything happens.
• Children. A youth league is about kids. Accounts are for adults - parents and guardians, coaches, league admins and adult players - and sign-up asks you to say you are 18 or older. We do not create accounts for children, and nothing that names a child or says where a child will be is ever shared outside the team, sold, or used for marketing.
• Coach addresses the league published. Contact details that came from the league's own scheduler, rather than from you signing up, are never added to any list.

Google Calendar, specifically

When you press Connect Google Calendar, Google asks you to allow one permission: make secondary calendars, and see, create, change and delete events on them. Ready Coach Go! uses it to create a calendar per team in your account and keep it in step with the league's schedule. It does not read, change or delete anything on calendars it did not create. You can remove the permission at any time from your Google account's third-party access page, or press Disconnect on the calendar page, which also forgets the token on our side.

Ready Team Chat, the team app

Ready Team Chat is Ready Coach Go!'s app for one team and its families: the roster, the schedule, the chat, the Wall, homework, snacks and urgent messages. It uses the same account as this site. Beyond your account, it holds:

• The roster. Each player's first and last name, jersey number and nickname, entered by the coach or the family, and the family members' names, email addresses and phone numbers. On a youth team the players are children, and children never have accounts: their families do. On an adult team a player can have an account of their own.
• Health notes. A player's allergies and notes for the coach, if the family or the coach adds them. Only the team's coaches and that player's own family (or the player, on an adult team) can see them. The snack allergy guide lists an allergy without the player's name, unless the family chooses to show it.
• Photos. A player's roster photo (one from a family waits for the coach's OK), and photos posted in the chat, on the Wall and on games and practices. Before we keep a photo we remove the hidden data cameras put in it, including where it was taken. Photos are stored privately and shown only to the team, through links that stop working after half an hour.
• What the team writes and answers: chat messages, Wall posts and reactions, votes, who is coming to each event and any reason given, answers to urgent messages, homework check-offs and awards, snack turns and swaps, scores reported from the sideline, and the video and web links people share. A message you take back, or a Wall post that is deleted, is erased: its words and its photo are gone from our records, not just hidden.
• The schedule and its places: games, practices and events, the parks and addresses they are at, the names a coach gives the teams they play, and, if a coach pins a park on the map, where it is.
• Your phone, for notifications. If you allow notifications, a notification token for your phone and whether it is an iPhone or an Android, so the team's messages and changes reach it. We also note when you open a team and on which kind of app, so the coach can see who has the app.

What the app does not collect: your phone's location, your contacts, an advertising identifier, or anything for advertising. When a coach saves the team's families to their own phone's contacts, the app compares them with the contacts already on that phone so nobody is saved twice; that comparison happens on the phone, and the phone's contacts are never sent to us. The camera and the photo library are used only for a photo you choose to send.

Who sees what. Everything about a team is for that team: its coaches, and the families and adult players on its roster. Coaches see the roster's contact details and who is coming; a family sees its own player's health notes and never another family's, and an adult player sees their own. Nothing about a team is public, sold, or used for marketing.

Maps and weather. To show where an event is, the park name or address on the event, and nothing about you, is looked up with OpenStreetMap's place search, and the map is drawn with OpenStreetMap's map images, which your phone loads directly. Weather on events is for the league's area, not for your location.

Keeping it, and deleting it. A team's records stay with the team, read-only once its season is over, so families can look back. A coach can take a player or a family member off the roster. You can delete your account yourself, from My account in the app (Delete my account), or ask us by writing to hello@readycoachgo.com. You are signed out at once and we email you the date: the deletion happens seven days later, and signing in before then keeps your account as it was. Then your account, your sign-in, your contact details, your notification tokens and your place on your teams go; what you posted on them (messages, Wall posts, photos, game photos and links, sideline scores) is erased; your usage records and saved preferences go, and so do the teams and games you kept in Game Day. What a team relies on stays with it without your name: its schedule, votes and homework show as from a "Former member", and a score you reported to the league stays on the league's record, unsigned.

Who else touches it

Service providers that process data on our behalf, under their own terms: Stripe (payments), Google (calendar tokens), Plunk (email, including invites and urgent messages), Expo (sending notifications to phones, and delivering updates to the app), Apple and Google (delivering those notifications to iPhones and Android phones), OpenStreetMap (maps and place search, given only the places on events), Cloudflare (traffic), and the hosting provider where the database lives. Videos people share play from YouTube, under YouTube's own terms. None of them may use your information for their own purposes.

Your rights

You can see what we hold about you on your account page. You can change it there. You can ask us to delete your account and everything with it, and we will, by writing to hello@readycoachgo.com. If you are in California, you have the rights the CCPA gives you, including the right to opt out of any sale - of which, again, there is none today.

Cookies

One cookie, to keep you signed in. No advertising or tracking cookies. The Ready Team Chat app keeps you signed in with a token kept in your phone's secure storage.
